Responsibilities

Our newest opportunity is for a talented Operations Assistant to join our award-winning team based in Amman, Jordan.

 

The Operations Assistant will provide a wide range of administrative duties in their support of the Principal / Operations and Divisional Management Team, to ensure and facilitate the efficient operation of InSite.  This includes general financial record keeping, invoice verification and production, coordination of internal meetings, and the coordination and maintenance of staff records.

 

We envisage success in this role to include; 

  • Coordinates with individual project managers and senior staff to maintain a rolling forecast of project invoicing and general accounts for all active projects in the division.
  • Coordinates with corporate finance, project managers and senior staff to track accounts receivable for all projects in the division.
  • Provides administrative assistance to project managers in pursuing outstanding accounts receivables. Submits and records invoices both direct to client (when project lead) and deliver notifications of earned value sent to other divisions (when working in support).
  • Delivers notifications to internal and external Clients regarding account arrears.
  • Monitors and oversees accounts payable activities.
  • Monitors actual project financial performance against forecast, revising the forecast where necessary, and providing administrative assistance to project managers to submit invoices and notifications.
  • Provides assistance to the Operations Principal in the production of operations related reports and organisation of meetings.
  • Assists Studio Leads and Project Managers in their production of project plans and invoices / payment schedules.
  • When required, provides general administration assistance to InSite Management, Country Managers and Studio Leads.
  • Assists the Senior Associate / Business Development in the production of reports and statistical analysis.
  • When required, provides general assistance to the Senior Proposals Coordinator.
  • Perform other related tasks as directed.

Qualifications

To be successful in this dynamic opportunity, we envision that your career journey to date will include a High School diploma.  Bachelor's degree preferred and 5+ years of related experience within a similar environment.

 

  • Excellent written and verbal communication skills.
  • Strong organizational and analytical skills.
  • Ability to provide efficient, timely, reliable and courteous service to customers.
  • Ability to effectively present information.
  • High level analytical and quantitative skills.
  • Knowledge of financial terms and principles with the ability to calculate intermediate figures and conduct basic financial analysis.
  • Proficient in Microsoft Office Suite, project reporting system and Primavera or Microsoft Project.
