Responsibilities

Our newest opportunity is for a talented Administrative Assistant to join our team, based in Porto, Portugal. Fluency in English and Portuguese is required.

 

This critical role will work as part of the Facilities Management & Administration team, providing professional, efficient, and personable front of house services to all staff and visitors. And acting as an ambassador for KEO, identifying and interacting appropriately with visitors (clients, candidates, couriers etc.), using appropriate logs to register external visitors and visitors from other offices, ensuring security protocols are followed. 

 

We envisage success in this role to include;

  • Greeting clients and visitors with a positive, helpful attitude. 
  • Ensuring reception and meeting room areas are clean, safe, presentable and that all necessary materials are available.
  • Helping maintain office security by issuing, checking, and collecting ID badges as necessary and updating the access control system. 
  • Maintaining FM&A registers and logs.
  • Answering phones in a professional manner, screening and forwarding calls to the relevant party.
  • Managing the meeting room schedule to avoid conflicts and prepare visitor refreshments.
  • Checking, refilling and ordering stationery and pantry consumables when required.
  • Providing general administrative and clerical support by performing tasks such as filing, photocopying, faxing, etc.
  • Booking and managing travel arrangements.
  • Adhering to all KEO policies and procedures.
  • May perform administrative duties specific to a department such as conducting research, updating databases and general administrative support.
  • Coordinating catering for meeting and events.
  • Performing general clerical duties associated with distributing office communications, documents, packages, and mail as required. Using tracking systems to record inbound and outbound courier, freight, and mail.
  • Ordering office supplies and other common use items for the location.
  • Maintaining records and logs of service requests and tracks status.
  • Dealing with ad hoc requests and routine administrative tasks using the appropriate tools, being involved with KEO CSR initiatives.
  • Performing other duties as assigned.

Qualifications

To be successful in this dynamic opportunity, we envision that you will have a minimum of High School Diploma or Bachelor's Degree and at least 2 years of experience in a similar position.   

 

Furthermore, you should demonstrate: 

 

  • Prior Front Desk, Concierge, customer service or other hospitality and administration experience. 
  • Solid written and verbal communication skills in Portuguese and English.
